JOB PURPOSE
Providing secretarial support for the efficient and effective operation of the Emergency Disaster Management & Special Services Department.
KEY OUTPUT
- Letters and document typed and collated.
- Documents disseminated.

- Proper filing system maintained.
- Communication both internal and external maintained

Key responsibility areas INCLUDES;
- Types, collates and amends letters, memoranda, reports and any other related document accurately.
- Handles general correspondence and enquiries relating to the Branch.
- Types Emergency Disaster Plans for Hospitals, and Health Departments.
- Directs callers and visitors to the Branch and Director
- Communicates routine/standard information to members of staff and public as requested.
- Ensures safety and security of confidential documentations
- Assists with entry, sorting and retrieval of incoming mails.
- Records and dispatches outgoing mails promptly and accurately.
- Assists with the maintenance of diary and itinerary for Director
- Routinely follows-up on correspondence and other related matters delegated by the Director.
- Receives, documents and forwards messages to Director
- Arranges and attends assigned meeting, including preparing notices and ensuring provision of refreshment.
- Assists with the preparation for seminars and workshops.
- Makes photocopies of correspondence, reports and other documents, as required.
- Communicates with other departments within the Ministry of Health, Head Office, hospitals, health departments, regional health authorities, other government departments and private agencies.
- Coordinates special services activities and events such as set-up, staff assignment and welfare.
- Coordinates Emergency Medical Services (EMS) Training Courses by:
- Liaising with Hospitals and Health Departments to inform of the scheduled dates and venues.
- Arranging venues, meals, documentation, confirming participant and distribution of manuals
- Assists with the preparation of bills such as certification and commitment for invoices, when required.
- Assists with the activation and de-activation of the MOH NEOC
- Performs secretarial duties and other assignments within the MOH NEOC.
- Performs other related functions assigned by the Director.
Minimum Required Education and Experience
- Four (4) CXC/GCE O’Level subjects including Math and English
- Be proficient in typewriting and shorthand
- Be computer literate
