JOB PURPOSE
To Type, amend and collate documents from section, maintain an effective information storage and retrieval system within the section, organized workshops as well as assisting, make bookings for relevant participants. Collect and disburse cheques.
KEY OUTPUT
- Letters and documents typed, collated and amended accurately
- Liaison with Non-Governmental/ Governmental Organization
- Incoming and Outgoing mails are efficiently processed
- Effective information storage and retrieval system maintained.
Key responsibility areas
- Types Reports, Power Points presentation for the Director.
- Establishes and maintains an effective information, storage and retrieval system for the office.
- Receives and sorts incoming mails
- Dispatches outgoing mails
- Type routine letters/Memos
- Ensures the prompt and accurate recording of files
- Collate, Record and disburse cheques.
- Booking venue for meetings/workshops
- Making reservations for relevant CAREC, MOH/Perinatal coordinator
- Make arrangements for meetings/workshops
- Follow-up on correspondences and assignments issued by the Director to functional officers
- Screens telephone calls and visitors and refer them to appropriate officers.
- Gives routine standard information to members of staff and the public upon request
- Ensures that all confidential documents are secured
- Makes photocopies of correspondence, and other documents
- Visits websites of International organizations download relevant information
- Faxing information to CAREC, CDC
Minimum Required Education and Experience
- Graduation from a secondary school with English Language at the CXC or GCE ‘O’ level and typewriting at a speed of 30-35 words per minute.
OR
- Successful completion of a course of study at an accredited Secretarial School with proficiency in typewriting at a speed of 30-35 words per minute and English Language at CXC or GCE ‘O’ Level.
- Knowledge of a word processing software (basic level) would be an additional asset at this level.
