JOB PURPOSE
Under the general direction of the Manager, Office Services, the Receptionist/Telephone Operator is responsible for receiving calls, placing calls and facilitating the smooth operation and communication in the Ministry of Health & Wellness (including NPHL & NBTS).
KEY OUTPUTS
- Incoming telephone calls answered;
- Telephone messages taken;
- Communication clear and accurate;
- Calls redirected/ diverted;
- Persons seeking information referred;
- Outgoing calls placed;
- Record of long distant calls maintained.
- Individual Workplan prepared
KEY RESPONSIBILITY AREAS
Technical/Professional
- Checks telephone lines daily and promptly report to the Information Communication & Technology Unit (ICT).
- Receives incoming calls, identifying the officers required and connecting callers;
- Answers calls from extensions, dialling numbers required and connecting the party to the officer(s);
- Advises officers as to any difficulties being experienced in obtaining number requested;
- Redirect and divert calls to appropriate officers, Divisions or Sections/Units;
- Relay information as quickly and as accurately as possible;
- Interrupt busy lines if an emergency warrants;
- Places outgoing calls for staff with the appropriate authorization;
- Prepares and maintains a Telephone Register
- Records all calls indicating official or private in the Telephone Register
- Observes signal lights on switchboard and dial or press button to make connections;
- Shows warmth and professionalism in answering the calls;
- Handles calls with all respect and professionalism even in any case that needs patience;
- Makes clear and accurate communication to the other party on the other end of the line;
- Refers persons who walk-in to seek information to the Receptionist;

MINIMUM REQUIRED QUALIFICATION AND EXPERIENCE
- Four (4) CXC including English Language and Numerical Subject
- Training in Switchboard Operations and customer services techniques; plus
- Two (2) years experiences in a similar position
