Logistics Officer (GMG/AM 3) (Band 5) (Vacant)

(Salary: $2,190,302.00 per annum)

 

JOB PURPOSE

 

Under the direction of the Senior Medical Officer, HIV/STI/TB Unit, the incumbent is responsible to provide logistic and administrative support to the National HIV/STI/TB Programme. The officer will be required to operate the assigned vehicle, and perform day-o-day activities and routine operations in compliance with the Programme’s procedure.

  • Quarterly servicing of water dispensers completed
  • Vehicle daily assignment log books completed
  • Daily Vehicle Inspection check form completed
  • Assigned vehicle maintained, cleaned and sanitized
  • Inventory Report prepared and submitted

 

KEY RESPONSIBILITY AREAS

 

Management /Administrative Responsibilities

 

  • Develops Individual Work Plans based on alignment to the overall plan for the section;
  • Participates in meetings, seminars, workshops and conferences as required;
  • Prepares reports and programme documents as required.
  • Contribute to the development of the Branch’s Strategic and Operational Plan as well as the Budget.

 

Technical Responsibilities

  • Drive and operate the HSTU assigned motor vehicle as per operations manuals and GOJ Comprehensive Motor Vehicle Policy.
  • Complete and maintain paper and electronic file of daily assignment log book.
  • Monitors and maintains the Administration log books.
  • Makes copies of correspondences as required.
  • Executes daily administrative functions as assigned. 
  • Follows up on correspondences and assignments issued by the supervisor. 
  • Maintains adequate stock of office and meeting supplies to ensure the efficient operation of activities.
  • Prepares monthly inventory report for submission.
  • Perform routine preventative maintenance checks and minor repairs to the HSTU assigned motor vehicle and complete the requisite forms.
  • Perform other corrective maintenance procedures as directed by the HSTU/Transport Unit.
  • Monitors the vehicle maintenance service schedule and notify the HSTU/Transport Unit to ensure that the motor vehicle receives timely servicing.
  • Monitors the fuel consumption charges of the assigned vehicle and submit same to the HSTU on a monthly basis.
  • Report and document all accidents and vehicle malfunctions to ensure timely execution of corrective actions as per GOJ Accident Procedure.
  • Observes defensive driving techniques and principles at all times.
  • Ensures that the assigned gas cards are utilized in strict accordance with stipulated procedures.
  • Prepares monthly, quarterly and interim reports as required.
  • Any other related duties assigned.

 

PERFORMANCE STANDARDS

  • Goods and correspondences received/delivered on time and vehicle returned to base.
  • Log books/forms completed on-time and accurately.
  • Vehicle defects and accidents reported on time.
  • High compliance with vehicle operations and maintenance procedures.
  • Administration activities completed with a high level of accuracy.
  • Adequate stock of meeting supplies maintained.
  • Work carried out is of a high standard and organizational principles are adhered to.
  • Confidentiality is maintained in the execution of duties.
  • Reports submitted as per the agreed timelines. 

 

Minimum Required Education and Experience  

 

  • Diploma in Business Administration, Administration Management, Supplies Management, Management Studies, General Studies, Social sciences or equivalent
  • Open General Driver’s License (Jamaica) and at least three (3) years driving experience
  • At least three (3) years’ working experience at a reputable company in the capacity related to vehicle and equipment maintenance and administration.
