Salary $1,181,428 per annum
JOB PURPOSE
Reporting to the Administrator, the Documentation and Digitization Officer will be responsible for maintaining a well-established information and document management system of all documents and records concerning the HEOC. The Officer will play a key role in the transformation process of moving manual files to digital formats (HEOC Automation and Digitization Project).
KEY RESPONSIBILITY AREAS
- Maintains index of EDMSSB including HEOC files
- Ensures maintenance of an accurate filing system by:
- Creating files as instructed or on identification of the need
- Proper numbering and labelling, according to established
- Filing documents correctly and safely to ensure confidentiality, easy retrieval and safety
- Retrieving documents as needed
- Preparing existing records for digitization; separating a variety of records, preparing paper documents for digitization, biding and creating soft copy versions of existing hard copy.
- To ensure that documents are correctly typed and scanned and are properly filed and maintained
- Work with the Director of EMS, DRM and IHR ensuring efficient scanning and uploading
- To follow best practices for document and file security for both paper and digital document
- Perform quality control to ensure documents are scanned correctly with clear images and entered into our internal database
- Maintains inventory of equipment and supplies by ensuring up-to-date record of movement of equipment & supplies
- Assists with the activation and de-activation of the MOH Emergency Operation Centre
- Performs duties as records clerk within the MOH Emergency Operation Centre
- Assists with retrieval of information from internal and external agencies for daily reports and updates
- Assists with processing of incoming and outgoing mails
MINIMUM REQUIRED EDUCATION AND EXPERIENCE
- Four (4) CSEC including Mathematics and English Language
- Training in Records Management – plus
- One (1) years’ experience in an Office Administrative role
