Salary Min: $1,370,094.00, Max: $ $1,842,625.00 per annum
JOB PURPOSE
Perform activities for accurate and comprehensive maintenance of records for all correspondence, equipment & supplies and activities related to the EDMSSB Operations.
KEY OUTPUT
- Filing system updated as required.
- Branch Inventory of equipment and supplies managed.
- Communication between internal and external agencies maintained.
- Ministry of Health Emergency Operations Centre (MOH EOC) established.
Key responsibility areas INCLUDES:
- Maintenance and update of the branch accounting database as necessary
- Performance of checking functions on accounting documents
- Generation of periodic (routine and as needed) reports from branch accounting database
- Accurate data entry into branch accounting database
- Maintenance of an accurate filing system to include:
- Creating files as instructed or on identification of the need
- Proper numbering and labelling, according to established index
- Filing documents correctly, according to EDMSS Branch File System Guide, and safely to ensure confidentiality, easy retrieval and safety
- Retrieving documents as needed.
- Purging files as approved to eliminate duplication of records.
- Maintenance of inventory records of equipment and supplies to include
- Up-to-date record of movement of equipment & supplies
- Produce Re-order alert
- Produce expiration alert
- Assistance with Intake and Issuance of inventory
- Conduct activities for adjustments in the levels of activation of the MOH EOC
- Assist with Schedule of Verification according to MOH EOC Contact List
- Performance of duties as data entry clerk and inventory officer within the MOH EOC.
- Management of Information from internal and external agencies for daily reports and updates Including processing of Incoming and Outgoing mails.
Minimum Required Education and Experience
- Four (4) CXCs including Mathematics and English Language
- Two (2) years experience in an office setting
