JOB PURPOSE

Providing secretarial support for the efficient and effective operation of the Office of the Chief Nursing Officer.

 

KEY OUTPUT

  • Documents Typed, amended and collated emanating from the section
  • An effective information storage and retrieval system maintained
  • Meetings and appointment organized and scheduled.
  • Meetings attended

 

Key responsibility areas INCLUDES;

  • Type correspondence for Directors Signature
  • Dispatch correspondence to various Ministries/Department
  • Maintains an efficient and effective information storage and retrieval system both electronically and manually.
  • Maintains appointment diary for the Director
  • Receives, sorts, records and dates incoming mails and dispatches outgoing mails promptly and accurately.
  • Follows-up on correspondence and assignments issued by the Director.
  • Attends meetings as scheduled
  • Records and transcribes minutes of meetings and distributes to relevant persons.
  • Liaises with the departments within the MOH, Regional Health Authorities, other government departments and private agencies, as required.
  • Arranges and attends assigned meetings, including preparing notices and ensuring provision of refreshment.
  • Makes arrangements for meetings seminars and workshops.
  • Makes photocopies of correspondence, reports and other documents, as required.
  • Performs other related functions assigned by the Director

 

Minimum Required Education and Experience 

CXC or GCE ‘O’ Level English Language or equivalent with proficiency in typewriting at a speed of 40-45 words per minute; successful completion of the prescribed Office Professional Training Course at the Management Institution for National Development (MIND)

OR

CXC or GCE ‘O’ Level English Language with proficiency in typewriting at a speed 40-45 words per minute and training in word processing and spreadsheet applications. Graduation from an accredited Secretarial School with at least three (3) years’ experience in the field.

At this level Shorthand at the speed of 80-100 words per minute would be an asset.
